Easy Introduction to Cocone 7th Period: Concierge

From left to right: Ms. Okubo, Ms. Omura, Ms. Furuki

First of all, what kind of job does a concierge do?

Ms Omura.
As all employees work toward the company’s goals, I believe that this department creates and supports an environment that facilitates progress toward those goals. I work mainly on the soft side, in cooperation with the facilities department on the hard side, to beautify the company and to find ways to make everyone feel comfortable working there.

The concierge team used to be called “General Affairs,” right?

Ms. Okubo.
That’s right. The name was changed from “General Affairs” to “Concierge” in order to provide more extensive soft support to the company and its employees. We hope that we can help you make a big leap forward with a support system that says, “It would be nice if we could do this, too! We hope that we can help you make a leap forward with our support system.
Ms.Furuki.
Although the nature of the work itself has not changed significantly, I have come to think that I would like to provide support that goes one step beyond clerical support to the hearts and minds of employees, such as making them more comfortable and thinking about how something like this would make them feel happy.

What is your job description?

Ms. Omura.
I am responsible for day-to-day employee relations and support, internal beautification, events, and other internal support and operations. Currently, I am also in charge of communication with contractors related to the construction projects that are underway here and there in the company.
The concierge part consists of members who mainly perform administrative work and secretarial work, so both members share and cooperate with each other to support employees and keep track of their work.
Ms. Okubo.
Since I am still new to the company, I am learning how I can be of help to everyone by observing how my seniors handle their work. I feel that it is important to start with small things, such as immediately responding to and resolving any requests or problems, creating an environment in which people can feel truly energized, ensuring a thorough response to emergencies, and not compromising on the attention that can be given.

Mr. Okubo, I understand that you recently joined Cocone, how is it working with the two senior employees?

Mr. Okubo.
They are very welcoming and teach us with great care and attention to detail! Whenever we have questions, they have always been answered in a courteous manner and resolved them.
I am also grateful for your willingness to accommodate me outside of work, such as when I have a sudden absence from work, you have been so concerned about my family that you have told me to “put my family first. I am still a novice, but thanks to you, I am enjoying my work every day!

Ms.Furuki.
No, no, please keep up the good work!
The concierge part of our staff is responsible for a wide range of tasks, including internal maintenance and beautification, Japanese language classes, disaster prevention, and seasonal events.

Recently, thanks to you, we are able to feel the season and relax in the company, such as during the Dolls’ Festival!

I always have the impression that they are really supportive of all the details.

Ms. Omura.
I am involved in small things such as rearranging cushions to make them look nicer, incorporating seasonal events into daily life, and in larger projects such as in-house gyms and remodeling, thinking about how to make the environment more exciting and enjoyable.
Ms.Furuki.
Yes, we do! We try to respond immediately to requests from employees, and as part of our internal maintenance and beautification efforts, we have introduced massage chairs, planted trees, decorated pictures, and conducted ventilation and disinfection activities to prevent coronas, etc. We are also conscious of making our employees happy that they have joined Cocone. We are working hard to make our employees feel happy to have joined Cocone.

The name “concierge” is truly appropriate for your generous and detailed support!

Why on earth would you go to such lengths…? What the hell are you doing there?

Ms. Omura.
As a concierge, my goal is to make coming to the company enjoyable and to create an experience (office experience) that can only be had at the company, including myself. I am very happy to see the happy reactions of my employees when I think about how I can achieve this and do something.

Ms.Furuki.
It makes me very happy to hear the words “nice,” “convenient,” “clean,” “pleasant,” “improved,” and “enjoyable! It makes me feel that I am useful.

I see that supporting your employees is also very rewarding for you.

Ms. Omura.
That’s right. Every day I feel that it would be great if we could create a workplace where all Cocone employees can work with a smile and give shape to their own sensibilities to the fullest. The fact that everyone is happy by providing support to everyone and making it easier for everyone to work leads to my own self-confidence and satisfaction.
Ms. Okubo.
Our work varies from large scale to small scale, but we are very happy when we can see the smiles on people’s faces as a result of each of our efforts!
Ms.Furuki.
Creating an environment for our employees is at the same time creating an environment for ourselves. Therefore, I feel that we also have growth by working as a concierge so that our employees feel comfortable and grow when they are at Cocone.

On the other hand, what are the difficulties?

Ms. Omura.
I think it is the courage and determination to start something you have never done before. There are times when I hesitate to take a step forward, but I think it is important to share opinions within the team and take on the challenge without fear of failure.
Ms.Furuki.
When I started working remotely due to the Corona Disaster, it was all new to me. We were not able to do things that we all wanted to do together, so we supported them by remotely delivering the founding general meeting, holding a quiz contest, and mailing gift boxes to all employees so that they could all eat the same food at the Christmas party. As working styles diversify in this way, we will continue to consider initiatives in which everyone can participate and feel a sense of belonging.

There are a lot of difficulties that come up when you change the way you work.

Finally, please tell us about any initiatives you are aiming for or would like to try in the future.

Ms. Omura.
The way we work has changed a lot with the Corona disaster, and I hope to come up with initiatives that will make remote employees happy to be at Cocone, even if they cannot come to the office. Also, new departments and locations are constantly being created and evolving, so I would like to be involved on the front lines by offering my opinions on how to make Cocone an even more wonderful company.
Ms.Furuki.
As the way people interact with each other remotely changes, I want to care for people so that they can feel a sense of unity as Cocone employees, and I want to transmit events that everyone can participate in and enjoy, and I want everyone to feel that coming to work is fun. In the future, I would also like to think about what we can contribute to the local community as well as to Cocone and send out information about it.
Ms. Okubo.
There are many things that are important in a job, but I believe that the first thing is “people and environment. I started this job at Cocone because I am interested in being able to build that foundation, and in being able to think for myself and try to implement things on my own. First of all, I would like to do my existing work well and make sure that employees can consult with me with peace of mind. I also hope to expand my antennae so that I can respond to the changing business structure and further demonstrate something of my own unique approach.

Thank you all very much! Now, here is a summary of this issue.
